Position: Fleet Administrator
Position Overview
The Fleet Administrator will coordinate activities related to the safe and legal operation our on road and support vehicle assets. Provides information and reporting to management to support improved cost, safety and compliance. Provides purchasing process support to our truck assembly and repair operations.
Responsibilities of the Position
- Administers fleet registration: maintain vehicle file, licensing, permitting, titles, sub leasing, testing/inspection, citations, and toll violations in a multi-state operation. This includes assigned vehicles, medium duty trucks and trailers.
- Issues purchase orders, enter receipts and processes supplier invoices for both of our truck assembly and repair operations. Follow-up on delayed shipment, shortages and product errors.
- Maintain a detailed fleet listing of light vehicles, medium duty vehicles, trailers and mobile support equipment.
- Coordinate with accounting for the management of fleet related fixed asset additions, transfers, renewals, reconfigurations and retirements. Administer parent relationship of chassis with their assigned service bodies; reassign service bodies to replacement chassis. Create and administer bills of sale for disposed mobile assets and ensure proper transfer or retirement of titles.
- Administers Enterprise Fleet Management (EFM) fleet ordering, production tracking, leases, purchases, deliveries, disposal, transfers, recalls and reassignments. Helps develop and execute a fleet replacement plan.
- Administers vehicle insurance program: add new vehicles, renewals, insurance card replacement, cancellation of insurance for disposed vehicles, adding new drivers, remove terminated drivers, and Monitor Qorta.
- Administers Insurance claim and repair process
- Administers WEX fuel card program: ordering new/replacement cards, cancelling cards, adding users, removing users, reassigning vehicle cards. Provide reporting and fraud monitoring. Prepare invoices for review and payment
- Supports GeoTab and Lytx software and hardware. Order equipment, ensure equipment is installed and continuously operational, reassign assets, support management of Electronic Logging Device (ELD), and logging corrections.
- Work closely with Human Resources and Management to manage personnel additions, transfers, promotions, and terminations. Coordinate changes to appropriate fleet management systems.
- Administer IFTA/IRP registrations, renewals, retirements and reporting
- Assist our consultant in the preparation of Form 2290, Heavy Highway Vehicle Use Tax Return annually for each entity.
- Capture fuel transactions dispensed from on-site tanks on a per vehicle basis for IFTA, IRP and HHVUT reporting
- Reporting expert for fleet related applications and systems. Run and distributes management and exception reports for: Enterprise Fleet Management, WEX and Fixed Assets.
- Ensures proper account coding follows vehicles, fuel and technology.
- Required to respond to support issue outside of normal work hours (Accident reporting, Logging issues, etc...)
- May be required to handle registration transactions at the DMV and shipping services..
- Performs other related duties as assigned.

Qualifications
- The ability to operate with little supervision; into the details of everything fleet related. Own the process and make continual improvements.
- Ease at learning new software applications; Acumatica, EFM, WEX, Lytx, GeoTab, Microsoft Suite, Encompass, Various DMV registration applications.
- Excellent organizational skills and attention to detail.
- Strong analytical skills: Advanced Excel skills are required. Experience with various reporting tools, familiarity with database structure and SQL is a plus.
- Knowledge of chart of accounts and fundamental accounting practices
- Excellent verbal and written communication skills with various levels of management.
- Excellent interpersonal and customer service skills.
- Excellent time management skills with a proven ability to meet deadlines and manage competing priorities.
